NYS Loan Program Deadline Dates for SY 2009-2010 

The deadline dates for the submission of all New York State Loan Programs via the FAMIS Portal for FY’10 for this school year are as follows: 

Monday, March 8, 2010- NYSTL (Textbooks) 

Wednesday, March 10, 2010- NYSSL/NYSLIB & NYS CH (all other programs) 

Please be sure to check your school’s available balances on the FAMIS Portal “Spending Plan Inquiry Screen” to ensure full expenditure of your school’s full allocation of all the loan programs prior to the deadline dates. Unspent funds do not accrue. Please order NOW to avoid any unforeseen circumstances that may cause delays at deadline time.

Please be sure to use “District: 55” for all the loan programs and the correct quick code: 012129 for NYSTL, NYSSL and NYSLIB; while quick code: 004129 is for NYS CH when placing your orders. It is also suggested that you follow up directly with the vendors for all orders not received within 30 days of submitting your electronic purchase order to ensure receipt and delivery in a timely manner. All deliveries must be complete by June 30, 2010. Therefore all unresolved issues must be reported to our office in writing prior to June 1, 2010. 

Important Updates:  

NYSLIB-Trade books can no longer be ordered for NYSLIB utilizing object code 338. Only object code 337 can be used to order trade books under the NYSTL Program. Instead please order your NYSLIB book needs by referring to one of our contracted library vendors as listed either in the Library and Reference Materials Directory on the DCP website or from the Contract Data Sheet for FLM Library Vendors via Listing Applications available under the NPS Memoranda. 

NYS CH-When placing your computer hardware orders please follow these instructions to better facilitate your access to the NPS E-Catalog Listing: 

E-Catalog: The specific NPS computer hardware approved catalog can be accessed by first logging onto the FAMIS Portal. On the left side of the screen under Purchasing/Payments click as follows: Purchasing>Contracted>E-Catalog>Computer Hardware/Consumer Electronics>Computer Hardware.  Then enter the appropriate account code information: District: 55; Quick: 004129; Object: 0332; Location: (school location code) and Activity: 0000.  Next click as follows: Retrieve Balance> Add Accounting Line>Close >Next. Finally there are four categories from which you may select your computer needs: Desktops (which includes smart boards, projectors, security devices, accessories & peripherals); Mobile (laptops & note books); Servers; and Printers. 

Employment Certificates:

We are now accepting final requests for this school year’s Employment Certificates (working papers) through Wednesday, March 24, 2010. Delivery will be completed by mid May. The next ordering period for the new school 2010-11 will be in June for a September delivery. Therefore, if you need these forms for distribution in June for this summer, you must place your order now by accessing the Request for Employment Certificate Forms under NPS Memoranda.

USE OF FAMIS

All schools wishing to participate in the New York State Loan Programs will be required to do so via FAMIS portal (a DOE web-based purchasing application).

To utilize the FAMIS Portal you will need a USER ID (one per school) and password. Note: once assigned a User ID, it remains the same. However, FAMIS passwords expire every calendar month. Your password is changed automatically by the DOE on the first business day of each month in accordance with the information provided in “FAMIS Portal Instructions for the NPS”.
